You're Hired!

Congrats! Let's get to work.

Once you've accepted a job offer on-campus, you must complete the instructions below before attending any work-related training sessions or completing scheduled shifts.

DO NOT BEGIN WORKING UNTIL YOU CAN ACCESS YOUR NEW POSITION TIMESHEET!
Students may not complete any work or training hours prior to having an active timesheet available in Banner SSB. Not adhering to this policy will result in suspension of your student employment.

Please follow these Instructions

PRINT and complete the Student Employee Hiring Packet using wet signatures (absolutely no electronic signatures accepted).

Make an appointment to turn-in your employment packet and present your I-9 ORIGINAL identification documents (see packet for more details). Completed paperwork will NOT be accepted electronically.

  • Identification documents for the I-9 must be original, no copies, pictures, or scans will be accepted. Documents cannot be expired.

After your appointment, you cannot begin working.

Monitor the status of your paperwork by checking your I-9 status tool in Banner SSB. Once your status is "received" please notify your supervisor to complete an EPAF for hire.

Regularly check your Banner SSB to see if you have a timesheet for your new position.

Once your supervisor submits and EPAF and it is approved by Student Employment, you'll see an active timesheet on Banner SSB in a new tab titled Employee.

  • See example of what a timesheet looks like here: Student Timesheet Example
  • Students may not complete any work or training hours prior to having an active timesheet available in Banner SSB. Not adhering to this policy will result in suspension of your student employment for the remainder of the term/semester.

Once you can access your timesheet, it's time to work! Contact your supervisor for training and scheduling.

Check out the Student Employee Toolkit for the student employee handbook, instructions on how to submit your timesheet, and more!

The Student Employment Office also recommends that all students utilize the resources at the Career Center. The Career Center will collaborate with you to go over your future career goals and understand how the skills you learn in your on-campus job will transfer to future post-grad opportunities.

Already a Student Employee?

If you are already working on-campus, or have previosuly worked on-campus, and sucessfully submitted your new student employment packet to Student Employment, you may not have to follow all of the steps above.

If you have been offered a additional on-campus position, you MAY NOT begin working immediately:

  1. Double check your paperwork has been processed by Student Employment by going to Banner SSB and selecting "Employee" then "Student I9 Status." Search your name or ID, and if the tool says, "Okay to Hire" then you paperwork has already been processed!
  2. Inform your new supervisor that you have already submitted the student employment packet and they can submit an EPAF. (Your supervisor should double check your I-9 status, as well.)
  3. Regularly check your Banner SSB after being offered the position to see if you have a timesheet for your new position.
    • Example of what a timesheet looks like here: Student Timesheet Example
      • You must ensure you can see your new position’s title, click the drop menu and access the actual timesheet.
  4. Once you can access your timesheet, you may begin work! Contact your supervisor for training and scheduling.

 Additionally:

  • Please go over the Student Employment Handbook again to review the student work hours limits
  • Remember, if a student submits late or inaccurate timesheets more than twice in one term (fall, spring, or summer) for all jobs combined, they may be suspended from all student employment jobs for the remainder of the term.

* Students may not complete any work or training hours prior to having an active timesheet available in Banner SSB. Not adhering to this policy will result in suspension of your student employment for the remainder of the term/semester.
