Procurement & Accounts Payable
Accounts Payable
You can access Accounts Payable forms here.
Accounts Payable is responsible for processing and distributing payments for Colorado College's business-related services and expenses.
Payments to employees, other than expense reimbursements, should not be processed through Concur. Payments to employees should generally be processed through payroll and are subject to payroll tax withholding. Examples include additional pay and honorariums. Please complete the Misc. Pay Requisition - Payroll Form and submit it to the Payroll Office.
We ask that you allow at least five working days from date of Business Office receipt to process your request for payment. Time of processing depends on the volume of requests.
Please note: IRS regulations require that a Form W-9 (for U.S. vendors) or the appropriate version of Form W-8BEN (for foreign vendors) be on file with the Office of Finance and Administration before payments can be processed.
Amazon Business
From November 4, 2025, Colorado College operates a central Amazon Business account for all business purchases via Amazon.
Why is the College partnering with Amazon?
By operating a central Amazon Business account, Colorado College can save money on Business Prime subscription fees and give all users access to Amazon Prime standard delivery terms. In addition, the use of Amazon Business allows us to maintain sales tax and purchasing compliance.
Furthermore, and importantly, our implementation of Amazon Business has focused on prioritizing products with recognized sustainability certifications and sellers registered as small or diverse businesses (IDEAL sellers) reflecting the College's commitment to sustainability, equity and inclusion. This project also allows us to consolidate Amazon Business deliveries reducing emissions and improving efficiencies all around.
Individuals are still encouraged to engage with local vendors, small or diverse businesses, and sustainable resources for their purchasing.
Who can use the service?
Any employee that has a valid P-Card in good standing is eligible to use the service. There is no cost to departments to participate in this program.
How to get access to Amazon Business?
As part of the launch, any P-Card holder who has used Amazon in the past twelve months will receive an automated email from Amazon containing instructions on how to join. If you did not receive this email, or you would like to join the Amazon Business account at a later date, please reach out to amazonbusiness@coloradocollege.edu to receive instructions on how to join.
How to use:
Our centralized account will use SSO to authenticate users through their CC credentials.
If you need help joining the account, please visit the Colorado College Buyer Hub for:
- Step-by-step registration guides
- Instructional videos
- Links to customer support.
The central Amazon Business account must only be used for business purchases. No personal purchases may be made. Personal use or any unauthorized use of the College's sales tax exemption is prohibited and may constitute a violation of state law and result in removal of access to the College's Amazon Business account, disciplinary or legal action.
All Amazon Business users must follow all College and departmental purchasing policies.
Some items available may require additional approvals such as vehicle parts, network equipment, and security cameras. Please ensure you allow additional time for these review processes.
Delivery
The College subscribes to Amazon Business Prime Shipping which provides free 2-day shipping on all prime orders and items regardless of price.
