Inserting a Teams Meeting into a Meeting Invite

Teams meetings are like Zoom or Webex meetings, but use Teams software from Microsoft. They can be as spontaneous as a phone call or pre-arranged like an in-person meeting with invites.

You should use a modern version of Outlook for PC or Mac (or Outlook on the Web) for this to work.

Inserting a Teams Meeting

In the calendar view, click the New Teams Meeting button at the top of the view

Type the body of your message above the Microsoft Teams meeting text, then add any attachments and enter the Title (meeting subject), location (if applicable), start time, end time, and finally add your invitees to the Required or Optional fields.

Hit send

If using Outlook on the Web, on the new event form, select the Teams meeting toggle to turn it on.

If you don't see the New Teams Meeting icon, your Outlook may need to be updated or the add-in re-installed.

Automatically add a new Teams Meeting to Meeting Invites (Outlook on the desktop)

At the top of the Outlook screen, click the File menu, then click Options.

On the Outlook Options page, click Calendar on the left.

Under Calendar options, select Add online meeting to all meetings.

At the top right of the screen, select Settings Settings button and then View all Outlook settings at the bottom right.

Select Calendar > Events and invitations > Add online meetings to all meetings.
