Getting AV support for your event

Thank you for planning in advance for your event! It helps us better support your AV and technical needs. To ensure great customer service, we need some details concerning your event.

Does your speaker or event:

  • have a PowerPoint presentation?
  • require audio?
  • need a laptop or Mac adapter?
  • require a wireless microphone?
  • have multiple presentations or lecturers?
  • need to be “live streamed”?
  • require a PA (for concerts or music performances), and, if so, what inputs do you need?
  • have a tech rider?
  • need an on-site tech?
  • include the President of the College as speaker?

As much detail as you can provide concerning the technical requirements of your event will help us and our team tremendously. We also need ample time to make sure requested equipment and staff is available, which is key to making your event run smoothly.

Please remember, when you submit a room reservation/equipment request, it is not guaranteed until you receive confirmation that your room and/or equipment are reserved and support personnel have been notified. You may be contacted to provide more details about your event. Please e-mail us or call x6382 with questions.

Service Matrix

Service Requested Advance Notice Support Level
AV Event Support (setup, tech on-site, testing, etc.)

10 working days or more Full Support – We can support your event and provide a tech, if requested. The only exception is if your event dates conflict with other major events we’re supporting.
5 working days Conditional Support – With only 5 days’ notice, we can likely support your event, but we cannot guarantee support.
3 working days or less Consulting Support – With 3 days’ notice, we probably cannot provide support personnel but will consult with you and advise how you might receive support from outside contractors. You may also check out AV equipment from the Armstrong Hall checkout window, but we cannot provide on-location support.
We are currently unable to provide in-house video recording or streaming services.

We will, however, assist in coordinating services with our preferred audio/video production professionals. All costs related to videotaping and streaming an event are the responsibility of the sponsoring department or organization.
