Seay Reserves Policies for Faculty

What are Reserves?
Materials which a professor has identified as being important to his/her course. These include music scores and books, CD recordings, VHS and DVDs. Course reserves may also include required reading.
Items, either paper or electronic, are placed on reserve to allow your entire class to use key or supplemental materials needed for that class. Placing items on reserve facilitates equitable access by all members of your class.
Where Are Reserves?
Physical items are available at the Music Library Circulation Desk. Streamed audio reserves are either linked from your Canvas course page or available via another method.
Due to copyright law, materials obtained through Interlibrary Loan or Prospector cannot be placed on reserve. Any copies or scans made for reserves must meet the standards of fair use as outlined in Section 107 of the US Copyright Law, or have the explicit permission of the copyright holder. They must also include bibliographic citation information. For more information,see the Colorado College Copyright Policy. The Library also adheres to the American Library Association Interlibrary Loan Code.

Electronic Reserves (Canvas)
Canvas is the College’s online classroom platform. It includes an electronic counterpart to the traditional library print reserve system. Students can access online readings through Canvas in a digitized format – 24/7 – from anywhere with an Internet connection and web browser. The system is password protected to restrict access to CC students, with access to class readings further limited to those enrolled in the class.
What types of materials can be placed on Canvas?
Materials placed on electronic reserves must follow fair use best practices, respecting U.S. copyright law. See the section on Copyright Basics and Library Reserve Policies above. Some examples of Canvas materials include:
- Links to full-text journal articles from databases the Library subscribes to
- Print materials (including book chapters, articles), which are scanned by the library staff and then placed on Canvas
- Links to Internet sites
- Powerpoint presentations
- Lecture notes, quizzes and exams
- Word or WordPerfect documents
- Excel spreadsheets
How can I get help with Canvas?
Faculty members who wish to create a course page online using Canvas, or to learn more about its other capabilities, such as class discussion forums, online assignment submission and grading, etc., should contact the Help Desk at x6449. They will put you in touch with a Canvas specialist for one-on-one assistance. However, if you simply want to learn how to link or upload class documents to your Canvas course page, or to have someone make those links or uploads for you, please contact the Instructional Technologist, Emily Blakely, at (719) 389-6738, or the Instructional Technologist for Students, Weston Taylor at (719) 389-6159. If you need to submit documents for scanning, please attach THIS FORM. The Music Librarian can also assist you with these tasks. If you have any trouble reaching the Help Desk, Marianne, or your liaison librarian, please call the Tutt Library reference desk at x6662, and we will find someone who can help you.
You may bring reserve items to the circulation desk. This immediately directs staff attention, resulting in a quicker resolution to any problems--thereby alleviating those pesky time constraints imposed by the Block Plan. If materials are not available as expected, you and the staff will have time to make appropriate substitutions, plans, purchases, etc.
Library staff will pull reserve items; however, we prefer to receive requests 7 days prior to the start of the block in which they will be used. Requests may be made in person, submitted by phone (719-389-6560) or by email
Requests may include the purchasing of materials we do not currently own or have access to. We place a priority on providing access to materials needed for courses. Cost may be a factor in our decision.
When making a reserve request,please include the following information:
- Professor's name
- Professor's phone extension
- Department name
- Course number
- Block(s) the item is to remain on reserve
- Any special instructions
What May Be Placed on Reserve
- Your lecture notes, recordings, etc..
- Any circulating Seay or Tutt Library item (books, scores, videos, etc..)
- Certain non-circulating books, scores and recordings.
- Single photocopies of articles, poems, a chapter of a book, or other short readings that meet fair use best practices.
- Any material for which permission has been granted by the publisher or through the Copyright Clearance Center.
What May Not Be Placed on Reserve
- Photocopies of a complete work or of a substantial portion of a copyrighted work.
- “Consumable” publications such as standardized tests, exercises or workbooks.
- CoursePaks produced by the CC Bookstore.
- Books obtained through Interlibrary Loan or Prospector.
(Note: It is a violation of the ILL Code to obtain materials from other institutions and place them on reserve for course use. ILL is accepted by publishers as falling within fair use when the transaction is initiated on behalf of a specific individual for that person’s own use. However, the library may accept photocopied excerpts or chapters from ILL and Prospector books that fall within the fair use guidelines.)
- Bootlegged copies of sound and video materials.
How Do Physical Reserves Work for Students?
Reserve items may be checked out for 4 hours and must remain in the library. Exceptions to this check out period must be determined by the professor. Items placed on reserve for classes are available at the Music Library Circulation Desk.
A course reserve item may be checked out overnight one hour before the library closes. Overnight loans are due within one hour of library opening the following day. Students are responsible for the timely return of all materials. The library may notify a student’s professor of major abuses of reserve policies.
