ERes Instructions for Faculty
Basics
ERes is an online counterpart to the traditional library reserves system. Students can access materials posted to ERes 24 hours,7 days a week from anywhere with an Internet connection. A link to ERes is found under Reserves on the Tutt Library Home Page.
What materials can be placed on ERes?
Nearly all materials that were placed on “print reserve” can also be placed on ERes. This includes journal articles, book chapters, lecture notes, internet sites, powerpoint presentations, quizzes, and exams. It is the responsibility of faculty members to comply with copyright law in their use of ERes.
ERes can post any kind of electronic file, but remember that students will need the appropriate software to read or use that file. Most readings are in the form of PDF documents.
How to I get an ERes account?
Contact your liaison librarian to setup an ERes account. Your liaison librarian will be happy to show you the basics to set up a page for your course.
Once you have an account, you can either work with your liaison librarian to learn how to maintain the page yourself, or your librarian will work with the Reserves Coordinator, Marianne Aldrich, to set up your page on your behalf.
Creating pages
Once your librarian has created an account for you, you can follow the basic instructions below to create a page (or ask us, and we can do this for you).
- Go to http://coloradocollege.docutek.com
- Click the “Admin Login” link and enter username and password
- Click on “Course Reserves Pages”
- Click on “+ Add Course Reserves Page”
- Enter course information. For “course number,” just enter the numeric part; the department abbreviation will be added automatically.
- Enter site preferences, including course page password. (NOTE: password must be the department abbreviation and number – AN201, GS135)
- Enter visibility dates for your page. The page will only be available to students during the dates that you indicate in this section. We encourage you to remove the page from view after your course is finished. The page can always be reinstated by modifying the visibility dates.
- A confirmation message will be displayed
Adding documents to your Page
We are happy to scan chapters and articles for your ERes pages. Talk to your liaison librarian or reserves coordinator Marianne Aldrich (x6189). We ask for 48 hrs lead time for posting documents. In some departments, administrative assistants have the training and equipment to add documents to ERes pages.
In any case, please provide a clear, high-contrast photocopy for scanning. Please do not submit photocopies with large black borders, as printing these documents gums up the printers.
We also have a fax-to-pdf process for adding documents to ERes (see below for instructions).
The library encourages you to make use of the fulltext articles available from databases such as Ebsco, JSTOR, etc. Most fulltext articles have a Permanent URL that can be used as the link. Contact a librarian at the reference desk or your liaison librarian if you need assistance finding links.
Faxing documents to ERes
If you have any trouble with this process, please contact your liaison librarian or contact a librarian at the reference desk. In most cases, it is easier to scan the document than it is to fax, but this feature does give us some added flexibility.
- Fax the document to 719-227-8120 (from an on-campus fax, just 8120 will work). Separate longer documents into separate 12-15 page faxes.
- Log in to ERes using the “Admin Login” link.
- From the Main Menu select Course Reserve Pages
- Select your course page from the list by clicking on the course name
- Select the Page Management Tab
- Click Documents and Copyright
- Select +Add a New Document
- On the next page add the title for the document. This will be the title that is displayed on the ERes Course Page. Proceed to the bottom of the page and save.
- From the fax staging area select the correct document. This is a “shared” space, so your fax and any other Colorado College fax will be in the same area. (NOTE: The fax names are the dates and times that the fax was sent so make a note of when you faxed to make associating your file easier.)
- Open the file before you associate it to make sure it’s the correct one. If you associate the wrong file you can return to this page and “disassociate” the file and return it to this staging area.
- To associate the file, click on the paper clip to the left of the file name.
