Information Management Project Template

This project worksheet is to be filled out for any Colorado College initiative that:

  • requires a hardware purchase, significant software purchase or system implementation that grows or expands the current hardware and software inventory at CC and/or
  • requires new Information Technology Services staff support from the Help Desk, Network Systems Group, Academic Technology Services, Web Group, Audio Visual Services or Administrative Computing group.

This worksheet should be discussed and filled out with stakeholders from the IM groups to be involved or affected by this project. If you are not sure who in IM to consult with, please contact the Director of User Services at x6941 Once this worksheet is completed, it will be reviewed by a relevant sub-group of the Information Technology Policy Board and approved as an ITS initiative, or returned for further conversation/revision within 10 working days.

The purpose of this process is to guarantee the success of your initiative, by planning for and confirming the availability of financial and human resources needed to see the initiative successfully through to completion or on-going operation.

This worksheet will help you account for the Total Cost of Ownership, or (TCO) of your initiative. In terms of technological initiatives, TCO is a way to understand and manage all costs related to technology purchases, including upfront costs and afterpurchase direct costs. You may be surprised to know that a “rule of thumb” estimate of technology costs is:

  • 70% personnel (training, support, and maintenance)
  • 20% hardware
  • 10% software

As you fill in this worksheet with your ITS partners, you will identify and account for these technology costs. Approval of your project as an ITS initiative indicates that Colorado College has the infrastructure, financial and human resources necessary to implement and sustain your project successfully. If further conversations about or revisions to your project proposal are required, ITS will work with you to find solutions or alternatives that meet your needs and are sustainable by the College.
